How big the problem is
In a 2025 study across Emirates Health Services primary care centres in six emirates, 21% of appointments were no-shows. After the centres started flagging high-risk bookings and contacting those patients ahead of time, the rate fell to 10.25%, across more than 67,000 appointments in each period (JMIR Formative Research, January 2025).
That's public primary care, not a private aesthetic clinic, and your own rate is the one that matters. Count it for a month.
1. Remind twice, and make replying easy
The newest review of randomised trials (12 trials, 8,236 patients) found reminders raised attendance by about 11% compared with no reminder. Phone reminders showed a clear effect, and text reminders pointed the same way with more variation between studies (Journal of Hospital Management and Health Policy, March 2026). In an August 2025 poll of US practices, leaders named steady reminders plus two-way texting, where patients can confirm or reschedule, as what kept no-shows flat or falling (MGMA, 2025).
- Send one reminder the day before and one on the morning of the appointment.
- Give her one-tap answers: Confirm, Running late, Move it.
- A patient who can easily move her appointment won't simply skip it. Offer a new time straight away.
2. Shorten the wait
The further away an appointment is, the more time there is for plans to change. Offer the earliest suitable slots first, and send a reminder when the booking is far off.
3. Take deposits where it makes sense
- Use deposits for longer or high-value appointments, and for patients who've missed before.
- State the policy before she pays, in plain words: how much, and when it's refundable.
- Take it through your own payment provider, so the money goes straight to you.
4. Refill the slot, fast
Cancellations happen. What costs money is the slot sitting empty. Keep a waitlist of patients who wanted an earlier time, and offer the freed slot as soon as it opens, before the day starts.
5. Bring back the patients who are due
Many treatments repeat. When a patient's next visit is due, one polite message with two times often books her before another clinic does. Only message patients who've opted in, and stop the moment they say STOP.
What doesn't work
- Reminders sent at 11pm.
- Reminders she can't reply to.
- Stern warnings about fees in every message. State the policy once, clearly.
